If you are a customer who uses your banking institution’s online bill pay services; please be aware of their terms and disclosures concerning the payment of any type of taxes using those services. 

We have come across several banking institutions that do not allow the payment of any type of taxes (state income, estimated, meals, lodging, sales, real estate, personal property, etc) using online bill pay.

Also, please be aware if you CAN and DO use online bill pay to remit a payment to the City of Waynesboro, please be aware that they are NOT electronic payments; your banking institution mails us a paper check.  You must allow time for the check to be processed and mailed to us.  It usually takes an average of 7-10 business days for the checks to arrive here.  This is important to consider for late fees, penalty and interest. 

We have had several issues of customer’s using the wrong account when processing an online payment; such as: using a utility account when they are trying to pay taxes, and using a tax account when they are trying to pay utilities, etc.

FOLLOWING IS OUR OFFICE POLICY ON POSTING ONLINE PAYMENTS:

We process online check payments, based on the ACCOUNT NUMBER that is on the check.  We do NOT process based on memo lines, notes, names, addresses, etc. 

The account number that is on the check is where the payment will be credited.  Once that payment is credited, that is where it has to stay credited, so if you in error use a utility account and were meaning to pay a tax, you will unfortunately carry a credit balance on your utility account, and will still owe taxes.  These payments unfortunately cannot be reversed out and corrected by staff, if they were posted as received by account number on the check.
